Gender Recognition and Lived Name Policy

Dear campus community,

In an effort to promote an inclusive environment, the University of California published the Gender Recognition and Lived Name Policy so that all university-issued identification documents and displays of personal identification information will show the accurate gender identity and lived name for UC community members. Implementation of this policy must be complete by Dec. 31, 2023.

The GRLN Policy requires all UC campuses to provide:

  1. At least three equally recognized gender options in university forms and information systems — woman, man and nonbinary.
  2. Any individual entering into an academic or professional relationship with the university may be permitted to indicate a lived name to be used in the UC system in all settings and situations that do not require a person’s legal name.
  3. An efficient process for current students, faculty and staff, alumni and affiliates to retroactively amend their gender designations and lived name on university- issued documents, including eligible academic documents, and in information systems.

While UCI campus units are responsible for most implementation activities, the Business Transformation Office is charged with ensuring the implementation is completed by the deadline. Questions regarding implementation can be directed to bto@uci.edu.

Inclusive Communication Practices

As UCI works to become compliant with our many systems and documents, it’s important to reflect on how being thoughtful of how we communicate with each other can go a long way in building and sustaining an inclusive culture. All members of the UCI community are encouraged to increase their understanding of how gender is reflected in verbal and written communications and actively use language and practices that are inclusive of all genders.

There are no specific rules for these engagements but below are some resources focused on creating a gender inclusive campus designed to be respectful of transgender and nonbinary individuals. Additionally, all faculty and staff are strongly encouraged to take the training course in UCLC, called “UC Gender Recognition & Lived Name: An Introduction to Gender Awareness.”
